💡 You can place an order for holiday benefits if you have subscribed to this product and are an administrator for it.
🌴 Conditions for crediting holiday benefits
A company or works council is exempt from charges on holiday benefits. There is no upper limit: you can choose any amount you wish.
You can cover the full cost of holiday benefits, or set up a contribution from your recipients. If recipients are contributing, this must be managed internally within your organisation, not via your Swile account.
🧑💻 How do I place an order for holiday benefits?
Select the allocation you want to credit.
To award holiday benefits, select holiday benefits.
The allocation refers to the type of benefit you are awarding.
Choose the amount to be given to each recipient.
Important information
The same amount will be applied to all recipients in the order.
You have three different ways to add and manage your recipients:
Select from your existing employees
- If your recipients have been invited to join your Benefits space and have accepted the invitation, you can select them from your list of employees.
- You can choose one or more recipients.
- You can also add recipients manually, in addition to your existing employees.
Import recipients via a .csv or .xlsx file
- Download the import template.
- Fill in the following columns: surname, first name, email.
- Import your completed file.
- If there are any errors (typos, unsupported characters), you can correct them directly in the recipient management interface.
Add recipients manually
- Enter for each recipient: surname, first name, email.
- Once added, you can still edit or delete them.
Warning
Editing a recipient’s information during the order process will not update the employee’s details, which you can manage from the Employees tab in your admin area.
Check the information, then move on to setting up the activation email.
Customise the activation email sent to your recipients by choosing from our pre-written messages or writing your own.
- Add your organisation’s logo (510 x 510 px, max 2 MB).
- Preview an example email in the window on the right.
- Choose the date the activation link will be sent.
Important information
Emails are sent between 9am and 11am.
If you choose today’s date, emails will be sent within 2 hours.
Sending is subject to available funds in your pot on the chosen date.
To finalise your order:
- Label the order to make it easier to identify (optional).
- Review the summary (allocation, recipients, amount).
- Check the different bank details for making a transfer.
- Check the billing address.
- Confirm the order.
Confirmation
Once payment is confirmed, your recipients will receive the activation email for their allocation.
