To credit your beneficiaries with holiday benefits, you first need to create them in your Gifts and Benefits area.
By creating your beneficiaries on the platform (one by one, or in bulk) from the Beneficiaries menu, they will be added to your list of beneficiaries. If you want to trigger a card order, you’ll need to place an order for gift vouchers or holiday benefits.
👉 If you only have a few beneficiaries to add and want to do it one by one
- Go to your Gifts and Benefits area
- Click on + Add in the top right, then select Add a beneficiary
- Enter the details (if the employee already has a Swile account, you’ll need to enter exactly the same information)
- Click Create to confirm
👉 If you have a large number of beneficiaries to add
- Go to your Gifts and Benefits area
- Click on + Add in the top right, then select Bulk Import
- Next, select the relevant company to link the beneficiaries
- Choose an invitation date so your beneficiaries can activate their account if needed
- Click Continue then Download the template
- Fill in your beneficiaries’ details in the CSV file:
- Title: Enter "Mr" or "Mrs"
- Role: Enter "Administrator" or "User"
- Date of birth: in the format DD/MM/YYYY
- Once the CSV file is completed and saved, import it so your beneficiaries are immediately created on the platform
💌 If you want to trigger card orders for your beneficiaries, you need to:
- Create them as described above
- Place an order for gift vouchers or Holiday Benefits. This is what will trigger the card order.

- If you are responsible for ordering cards: Placing a reload order will automatically trigger a physical card order if your beneficiary doesn’t already have one.
- If your beneficiaries need to order their own card from their account: Placing an order for gift vouchers or Holiday Benefits via the csv file will allow your beneficiary to order their own card from their account, if they don’t already have one.
