👩💻 Where can you find your Holiday Benefits invoices?
You can access your Holiday Benefits invoices at any time in your Gifts and Benefits area:
- In the Accounting > Swile Invoices tab: Here you'll find all your invoices and credit notes
- In the Orders tab: Click on the relevant order, then on your entity's name, and you'll find the accounting documents specifically related to that order
👉 For each order, we provide:
- A proforma invoice: This is available before the final invoice, which will be issued when the top-up is made.
- An invoice for the top-up itself: This is issued as soon as your beneficiaries are topped up. Top-ups are not subject to VAT.
- An invoice for management fees: These must be paid by bank transfer to the Swile bank details shown on the invoice (not from your pot). Please include the reference in the transfer description. Fees are subject to VAT (1% excl. VAT = 1.2% incl. VAT)
🧾 Can you get an invoice for topping up your pot?
We issue a deposit receipt for your pot once the transfer has been received. The invoice linked to your order is only issued once your beneficiaries have been topped up.
Beforehand, you can download a proforma invoice. These invoices are available in your order history and in the Accounting > Swile Invoices tab.
🔎 Your departments require proof to credit your company pot
We recommend crediting your pot first and then placing your order.
However, your internal departments may sometimes require proof before they can make the transfer to your pot. In this case, you can complete your order first, then download a proforma invoice to send to your departments so they can make the transfer to the pot. As soon as the pot is credited, your order will be automatically validated on the scheduled date. Once the accounts have been topped up, you'll have access to the final invoice.
