How to Create and Manage a Custom "Product" Offer?

This article is for Swile Gifts and Benefits administrators whose Works Council (CSE) has the Custom Offers feature. It explains how to create and manage a custom offer of the Product type. Creation is done using a step-by-step assistant, where you fill in several sections in turn: General Information, Guests and Eligibility, Pricing, Payment Methods, and Registration.

🛠️ How do I create a custom Product offer?

To start creating your custom Product offer in the Swile Gifts and Benefits area:

1. Step 1: Go to your Gifts and Benefits admin area.
2. Step 2: Click on Custom Offers, then on New Offer.
3. Step 3: Choose the Product type.

📝 How do I fill in the general information for the offer?

When creating your custom Product offer, in the General Information section:

• give your offer a title and description;
• add images to illustrate your offer;
• attach documents if needed;
• set who is eligible for this product: beneficiaries (with a length of service requirement if you wish), partners and/or children if you have enabled dependants;
• click Next.

👥 How do I set guests and eligibility for the offer?

When creating your custom Product offer, in the Guests and Eligibility section, set the registration rules:

• the maximum number of products a beneficiary can order from the offer;
• the supporting documents the beneficiary must provide to register;
• any additional information the beneficiary must provide when registering.

💶 How do I set the offer's pricing?

When creating your custom Product offer, in the Pricing section, enter a price by specifying the price title, the product's original price, and the discount offered. You can offer:

• a discount in euros: the amount of the discount per item, the available stock for this price, and the maximum number of items per beneficiary (and per dependant);
• a percentage discount: the percentage discount, the available stock for this price, and the maximum number of items per beneficiary (and per dependant).

💳 How do I choose payment methods and enter VAT?

When creating your custom Product offer, in the Payment Methods section, choose the accepted payment methods:

• bank card via Swile, if you have enabled the payment module;
• another payment method, which you manage outside of Swile.

Then enter the VAT rate and your different prices (if you have set up more than one).

📅 How do I set up beneficiary registration?

When creating your custom Product offer, set up the Registration section:

• set the duration of the offer;
• choose whether you want to approve or reject each registration from your admin area, or if every registration completed by your colleagues is automatically approved;
• indicate if there is a maximum overall stock available for this product;
• indicate if you accept orders beyond the available stock. If so, when stock runs out, you will need to either reject some orders or increase the stock.

Notifications are sent to your colleagues by email and on their mobile (via the app, if they have enabled notifications) on the start date you specify.
