How do I create meal voucher beneficiaries without an email address?

As a Swile meal voucher administrator, you can create beneficiaries without providing an email address. You can still create and order Swile meal vouchers, and the employee will then be invited by post.

⚠️ Two conditions to meet

To create a Swile meal voucher beneficiary without an email, the option must first be enabled on your account—either when the account is created or by our customer service team. If no email is provided, you must enter a unique employee ID for each colleague to identify them.

How do I know if the option to create without email is enabled on my Swile meal voucher account? 🔎

To check if the option to create beneficiaries without an email is enabled on your Swile meal voucher account, look at how the form behaves when you leave the email field blank:

✅ Option enabled

  • You can continue with your order without entering an email, as long as you provide an employee ID.

🚫 Option not enabled

  • If you don't enter an email, an error message appears to say that an email is required.

How do my beneficiaries receive their invitation and Swile card without an email? 📬

Swile offers two ways to invite a meal voucher beneficiary: by email or by post.

For an employee without an email, the invitation to the Swile meal voucher programme is sent by post. A home address is not required. If no address is entered, the Swile card will be sent by default to your company's main office (the default address set in your settings).

How do I manually create my Swile meal voucher beneficiaries without an email? ✍️

To manually create a Swile meal voucher beneficiary without an email, follow the usual creation process described in the dedicated FAQ: How do I create beneficiaries on the meal voucher programme?

Make sure you enter an employee ID instead of an email. The invitation will then be sent by post to the employee's home address or, if not provided, to your company's main office.

How do I create my Swile meal voucher beneficiaries without an email using a CSV file? 📂

Creating Swile meal voucher beneficiaries without an email via CSV import works the same way as the standard process. The only difference is in the import template:

Option Add an employee ID before downloading the Swile CSV import template

Before downloading the template, tick the option Add an employee ID for each beneficiary. This lets you enter a unique employee ID for each Swile meal voucher beneficiary, instead of an email address. For the full import process, see the dedicated FAQ: How do I create beneficiaries on the meal voucher programme?

💡 Our recommendation

To get the most out of your Swile meal voucher account, add an email address for your beneficiaries as soon as possible. Email makes it easier for each employee to activate their account, receive their invitation, and track their usage.
