If an employee leaves your company, we recommend removing them from your list of beneficiaries.
⚠️ It’s important to remove them from the platform, but the beneficiary can keep their card.
👩💻 How do I remove an employee from your meal voucher beneficiaries?
Find the beneficiary in the Employees menu
Click on the relevant beneficiary’s row
At the top, click on the meal vouchers tab, then select Remove from this programme
- Choose whether the beneficiary can continue to use their balance, or if it should be returned to the company. Here’s a detailed explanation 👇
If you choose this option, the person will no longer appear in your list of beneficiaries for future orders, but they will keep their current balance until it’s used up.
📩 Note: If your employee uses their work email address as their Swile account login and you deactivate them, they won’t be able to log in anymore. Ask them to update it now! Here’s how: Change my phone number or email address
With this option, you’ll request a refund of your employee’s balance to your company account.
A small window will appear where you can enter your company’s IBAN and BIC to ensure the refund is received correctly.
The refund will be made within 8 working days to the bank details you provided. You’ll then find the corresponding credit note in your admin area (under My refunds). This will show the amount refunded to you.
🧐 How do I find removed beneficiaries?
As an administrator, you can view beneficiaries removed within the last 90 days via the Employees page. Here’s how:
- Go to the Employees page.
- In the Status filter, select the Recently removed option.
- 📜 The list will show removed beneficiaries, with details of the relevant programmes.
- 👤 By clicking on a profile, you’ll access the programme details. For meal vouchers, you can view the order history and reinstate the beneficiary.
- ⚠️ Only the meal voucher programme allows reinstatement via the interface.
- ⏳ After 90 days, the profile is no longer accessible.
📌 Important
You can’t transfer the balance from a former beneficiary to a new employee’s account.You must always delete the old one and create a new account for each new employee.
