The Swile Gifts and Benefits pot is the company account that funds the benefits distributed to your recipients in the form of Swile credit. It has its own bank details, separate from your company's bank account and the Swile bank details used for invoice payments.
It is used to:
- Receive incoming transfers from your company's bank account.
- Store funds waiting to be distributed.
- Fund orders for benefits distributed as Swile credit.
Once the Swile Gifts and Benefits pot is topped up, you can use the funds whenever you like, with no time constraints, to:
- Issue gift vouchers (Christmas, weddings, births, retirement, etc.).
- Issue culture vouchers.
- Issue Holiday Benefits.
- Set up a Swile shop subsidy (covering part of the cost of your recipients' purchases in the shop).
- Recover unused funds via an outgoing transfer to your company's bank account.
The history of debits and credits can be viewed in the Accounting > Pot tab, where you can also download a statement for a specific date range.
The Swile Gifts and Benefits pot is exclusively for funding benefits distributed as Swile credit. It cannot be used to:
- Pay Swile invoices (beneficiary top-ups and management fees) → these must be paid to the Swile bank details shown on the invoice, making sure to include the reference in the payment description.
- Pay for a gift card order → payment by bank card or transfer directly at the time of order.
- Make reimbursements for the "Invoice Reimbursement" subsidy → SEPA file generated from Swile, then transfer from the CSE or company bank account.
- Make payments to third parties (suppliers, service providers, employees not included in the Gifts and Benefits scheme).
- Act as a current or savings account for your company.
Yes, you can recover all or part of the available funds in your Swile Gifts and Benefits pot via an outgoing transfer: a bank transfer from your Swile pot to your company's bank account.
⚠️ How to request an outgoing transfer
Outgoing transfers can't be made independently from the admin area. To recover your funds, contact Swile support specifying the amount to be transferred and the bank details of the recipient company account.
Swile gift and culture vouchers are valid for 12 months from their issue date (the date they're credited to the recipient's account). Two types of transactions can re-credit your Swile Gifts and Benefits pot:
- Vouchers not activated by the recipient — If a recipient does not activate their allocation before the expiry date, the entire unactivated balance is automatically returned to your Swile company pot. Your recipients are notified by email as the expiry date approaches, and the date is shown on their Swile account.
- Voucher decommissioning — Transfer of money from a recipient's account back to your Swile Gifts and Benefits pot, outside of the expiry case. This happens in particular when a decommission is carried out by our teams, at your request.
