How do I set an overall budget for my Swile shop subsidies?

This article is for Swile Gifts and Benefits administrators who have access to the Subsidies feature. You can set a maximum budget for your Swile shop subsidies over a given period. This overall budget applies across all your shop subsidy rules. Once it’s reached, your beneficiaries can no longer use subsidies in the Swile shop.

⚙️ How do I set an overall budget for my Swile shop subsidies?

1. Step 1: Go to the Gifts and Benefits menu.
2. Step 2: Click on the Limits tab.
3. Step 3: Click on the Max. Subsidy Budget sub-tab.
4. Step 4: Click on New Limit.
5. Step 5: Enter a start date, an end date and the amount, then click Create Limit.

To edit your overall budget, click the pencil icon next to the relevant budget line.

📊 Where can I track my overall budget usage?

From your Gifts and Benefits admin area, in the Limits tab and Max. Subsidy Budget sub-tab, you can see the amount already used and the remaining amount on your overall Swile shop subsidies budget.

📩 What email alerts will I receive as an administrator?

To avoid any issues, active programme administrators automatically receive email alerts about the overall Swile shop subsidies budget:

• an alert at 90% usage: the overall budget is about to be reached;
• an alert at 100% usage: the overall budget has been reached and beneficiaries are now blocked.

Each alert is only sent once. If you change the overall budget, alerts will be triggered again based on the new threshold and period.

🔒 What happens once my overall budget is reached?

Usage is accumulated across all programme beneficiaries. Once the overall budget is reached, beneficiaries can no longer use the Swile shop subsidy.
