How to check if a colleague’s Swile account is activated and resend them an invitation

As an administrator, you can track the activation of your colleagues' accounts from the Colleagues menu. From this area, you can check their activation status, resend them an invitation, filter the list, and export it.

👥 How can I tell if a colleague has activated their account?

Go to the Colleagues menu. A status is displayed next to each colleague:

  • Awaiting activation: the colleague has not yet activated their account.
  • Invitation scheduled: a date has been set for the invitation to be sent. Click on the colleague's row to see the scheduled date (“invitation scheduled for XX/XX”).
  • Invitation not scheduled: the account has been created, but no invitation has been generated yet.
  • Active: the colleague has accepted the invitation. To see this status, click on the relevant colleague's row.
📩 How do I resend an account activation invitation?

If needed, you can resend an invitation in two ways.

1. To all colleagues who haven't activated their account (bulk send)

  1. Go to the Colleagues menu.
  2. Click on Resend invitations.

2. To a specific colleague (individual send)

  1. Go to the Colleagues menu.
  2. Find the profile and click on it.
  3. Click the Resend invitation button.
🔍 How do I filter the list of colleagues?

In the Colleagues menu, you can filter the list by:

  • Status: Admins only / Awaiting activation / Recently removed.
  • Programmes: useful if you have several programmes (e.g. meal vouchers and gifts).
  • Companies: useful if you are an administrator for several companies.
📤 How do I export the list of colleagues?
  1. Go to the Colleagues menu.
  2. Filter by status, programme or company if needed. If you don't use a filter, all colleagues will be exported.
  3. Click on Actions, then Export the list of colleagues.
