You’ll find in this article all the information you need to identify your employees' expenses using analytical codes.
🧐 What is an analytical code?
In analytical accounting, a code is a tag assigned to an accounting entry to better track a product or business activity. This trip label allows for more detailed financial reporting.
Setting up trip labels is optional. If you want the trip label field to appear in your booking, go to your profile in the Administration tab:
1. Activate trip labels
- Go to the Trip label tab
- Check the Activate button at the top right of your screen.
2. Create you tip labels
- Go to Add
- Enter the desired code name and click Validate.
💡 The code "OTHER" is the only one created by default and pre-existing, and it cannot be deleted. We provide it so your collaborators have the option to select it if they're unsure which code to use when making a booking.
You can edit an analytical code; however, the changes will only apply to future bookings.
To edit a label:
- Go to the Administration tab
- Go to the Trip labels tab
- Click on the pencil icon
- Edit the text and click the checkmark to confirm
To delete a code, simply click on the red trash bin icon.
If the trip label has already been used for bookings by your employees, the information will still be stored and will continue to appear on your invoices for the relevant bookings.
If you realize that you need a deleted code again, you can easily recreate it with the same name.
Here are the main options available to you:
- You can filter bookings by trip label via Administration > Organization Bookings
- You can find the analytical code in your Bookings Exports
- You can view the trip label on your invoice
