How to Have an Administrator’s Trips Approved on Swile Travel

This article is for Swile Travel administrators. By default, no trip requires approval, even for an administrator. However, you can enable approval for your own bookings by an approver. Here’s how to do it.

👩‍💻 How do I enable approval for my trips on Swile Travel?

As an administrator, you can enable the approval option directly from your profile. Once you tick the box, the approval process will apply to your bookings. You can activate this for yourself or for other administrators in your company.

  1. Go to the Employees tab and search for the person concerned (or yourself)
  2. Click on their name. Once on their profile, go to the Business travel sub-tab.
  3. In the Traveller settings section, click Edit and tick the box Must be approved by an approver.

💡 How this option works with approval rules

On Swile Travel, this box is a shortcut that submits your own administrator trips for approval. The overall management of approvals — which trips require approval and who approves them — is set up in the Approval rules. Without an approval rule or the box ticked, your bookings will go through without approval.

👀 What happens if my booking is grouped with an employee’s?

If an employee makes a booking for themselves and an administrator on the same trip, and approval for that administrator is not enabled, the booking will go through automatically, without approval.
