How do I track and accept requests to add new dependents ?

Your beneficiaries can add dependents to their account. This allows you to allocate gift vouchers and subventions according to their family composition (in compliance with the rules established by your CSE).

💡 This option is optional, you can activate/deactivate it at any time from the Settings tab in your administrator area, so your beneficiaries will no longer be able to add their beneficiaries.

👩‍💻 Find the list of all dependents

Your beneficiaries can submit requests for additional dependents (child and/or spouse). You'll find their requests in the Gift voucher menu, then the Dependents tab.

On this page, you can :

- Apply a filter to the status of requests (declined, pending, validated)
- Search by beneficiary or dependent's first or last name.
- Export the list of requests in CSV format using the Export button.

💡 You can also consult a beneficiary's dependents directly on their personal file. To do this :

- Go to the Beneficiaries tab or the collaborators menu
- Find and click on the beneficiary concerned
- Go to the “General” tab. You'll find a list of the beneficiary's dependents, and you can accept requests from this screen.

• 🙌 Accept an add request

Go to the Dependents tab and click on the dependent concerned. A window with the information entered by the beneficiary will appear :

Check the supporting documents submitted by the beneficiary.

- If everything is in order, change the status to “Validated” to accept the request.
- Change the status to “Declined” if documents are missing or the information entered is incorrect. In the event of refusal, you must attach a comment to inform the beneficiary of the reason. The beneficiary can then modify or delete the request.

Note that you can also go directly to the collaborator's file to process his or her request.

📌 How do you take into account dependents in your orders ?

- For endowments (example: children's Christmas, back-to-school, etc) : You can use the dependents entered to determine which types of gift vouchers to credit to each beneficiary. You'll need to place your order as usual. See : How do I credit my beneficiaries with gift vouchers ?
