As an administrator, inviting your beneficiaries to the Gifts and Benefits platform gives them access to CSE offers from their Swile account. You can invite them in two ways: one by one from the Beneficiaries menu, or in bulk using a CSV file. Neither of these methods will trigger a card order, regardless of your account settings.
💡 Good to know
You no longer need to invite your beneficiaries to the Gifts and Benefits area in order to credit them with an allocation. Beneficiary management can now be done directly from the gift voucher order process. See: How do I place a gift voucher order?
This method is suitable if you have only a few beneficiaries to invite to the Swile Gifts and Benefits area and want to add them individually.
- Step 1: Go to the Gifts and Benefits menu.
- Step 2: Go to the Beneficiaries tab, click Add then Add a beneficiary.
- Step 3: Fill in at least the mandatory fields for each beneficiary: surname, first name, email, date of birth, employee number and start date. Mandatory fields are marked with an asterisk (*).
- Step 4: Click Create. A confirmation will appear when your beneficiary has been successfully created.
This method is suitable if you have a large number of beneficiaries to invite to the Swile Gifts and Benefits area.
- Step 1: Go to the Gifts and Benefits menu.
- Step 2: Go to the Beneficiaries tab, click Add then Bulk import.
- Step 3: Select the date from which your beneficiaries will receive their invitation, then click Continue.

Step 4: Click Download template. A file will be downloaded to your computer. Fill it in following the rules below, then save it.
💡 How do I fill in the CSV file?
For each beneficiary in the Swile Gifts and Benefits CSV file:
- Role: Enter "Administrator" if the beneficiary should also have access to the admin area. Leave the cell blank for a standard beneficiary: their role will be "User" by default.
- Date of birth: format DD/MM/YYYY.
- Postal address: if a beneficiary does not have an email address but needs to receive an invitation, enter their postal address. For the country code, enter the first 2 letters (for example FR for France).
- Start date: date of joining the company in DD/MM/YYYY format, or leave the cell blank.
- Step 5: Go back to your Swile admin area, upload your completed .csv file in the dedicated section, then click Continue. If the file contains errors (typos, unsupported characters), Swile will notify you in an error report: correct the file, then re-upload it.
- Step 6: The platform will confirm the invitation date and the number of beneficiaries added. Click Confirm.
- Step 7: The platform will confirm the addition of beneficiaries with the message All done.
