This article is for Swile administrators of the Gifts and Benefits programme. Once a limit has been created, you can manage it at any time. This article explains how to:
- manually adjust the balance of a beneficiary's Gifts and Benefits limit;
- edit a limit (name, dates, amount, criteria);
- delete a limit;
- view usage details of the limit for each beneficiary;
- record usage outside Swile that affects the limit.
Expand the procedure you need below.
As a Swile administrator, you can adjust a beneficiary's Gifts and Benefits limit balance at any time, either individually or in bulk. Manually adjusting the balance of a Social and Cultural Activities (ASC) limit is especially useful for including ASC benefits that an employee has used outside of Swile.
- Step 1: Go to the Gifts and Benefits menu > Limits tab.
- Step 2: Click on the relevant limit.
- Step 3: Search for the beneficiary.
- Step 4: At the end of the beneficiary's row, click on the three dots > Edit limit.
- Step 5: Enter the new limit to apply and save.
In Gifts and Benefits, you can edit all fields of a limit (name, start date, end date, amount, criteria), with immediate effect.
- Step 1: Go to the Gifts and Benefits menu > Limits tab.
- Step 2: Click on the relevant limit.
- Step 3: Click on Edit.
- Step 4: You'll find the different options for your limit and can edit them as needed.
To delete a limit in Gifts and Benefits:
- Go to the Gifts and Benefits menu > Limits tab.
- On the row of the relevant limit, click on the bin icon to delete the limit.
Deleting a Gifts and Benefits limit is permanent: the limit is treated as if it never existed, no usage history is kept for beneficiaries, and the relevant grants and personalised offers can be linked to another limit.
- Step 1: Go to the Gifts and Benefits menu > Limits tab.
- Step 2: Click on the relevant limit.
- Step 3: On the row of the relevant beneficiary, click on the three dots at the end of the row, then click View details.
- Step 4: You can then see the amount allocated, used, and remaining.
- Step 1: Go to the Gifts and Benefits menu > Limits tab.
- Step 2: Click on the relevant limit.
- Step 3: On the row of the relevant beneficiary, click on the three dots at the end of the row, then click Add transaction.
- Step 4: Enter the transaction made outside Swile with the following details: date, description, type (used or credited), and amount.
