How to create and set up a limit on Gifts and Benefits

This article is for Swile administrators of the Gifts and Benefits programme. A Gifts and Benefits cap limits the total amount of subsidies and custom offers an employee can receive over a given period. Here’s how to create and set it up.

How do I create a cap on Gifts and Benefits?

To create a cap on your custom offers and/or Gifts and Benefits subsidies:

  1. Go to Gifts and Benefits > Caps.
  2. Click on the New cap button.

How do I enter the general information for the cap?

In the General information section, name each cap, then choose whether you want to:

How do I set the cap amount?

In the Amount section, set the cap amount for Gifts and Benefits subsidies and custom offers. This amount can be the same for all recipients, adjusted by criterion, or personalised via a CSV import.

Which subsidies and custom offers should be linked to the cap?

In the Subsidies section, select the Gifts and Benefits subsidies and custom offers to which the cap applies. A cap can cover invoice reimbursements, shop subsidies, mixed subsidies, and custom offers. The linked subsidies and custom offers can be expired, ongoing or scheduled.

How do I set the period for the cap to apply?

In the Period section, enter the period that will apply to the cap for your Gifts and Benefits subsidies or custom offers. The start date can be retroactive (before today’s date) and the end date is optional. If there’s no end date, the dates of the custom offers and subsidies will apply.

⚠️ Cap uniqueness rule

On Gifts and Benefits, the same subsidy or custom offer can only belong to one cap applied over the same period. For example: if the Cinema subsidy is already included in a Culture cap, you can’t include it in a Holidays cap that applies at the same time.
