This article is for administrators of the Swile Gifts and Benefits area. If you have this module, you can set up subsidies that apply to the Swile shop, directly accessible from your employees’ Swile accounts.
Swile offers four types of subsidies that can be applied to the Swile shop. You can set up either a euro allowance, a percentage discount, a discount in euros, or fixed prices on certain products. Each of these options is explained in detail below.
If you want to set up an invoice reimbursement instead of a shop subsidy, see the article How do I create an invoice reimbursement rule?
How do I create a subsidy in the Swile shop?
To set up your subsidy in the Swile shop, follow these steps:
- Log in to your Gifts and Benefits admin area.
- Click on the Subsidy tab, then on New subsidy.
- Choose the Shop Subsidy type.
Next, complete the four steps to set up your Swile shop subsidy:
- Give your Swile shop subsidy a title. This title will be visible to your beneficiaries.
- If you have subscribed to the Gifts / CSE offer, specify whether this subsidy is for your employees and/or their dependants.
- Set the minimum length of service required to benefit from the subsidy, as well as an eligibility criterion if you wish. For more information, see How do I create and assign custom criteria to my employees for subsidies?
Select the product category or categories in the Swile shop you want to subsidise by clicking Add categories.
You can also customise the eligible products by clicking Add products. For example, this allows you to subsidise only your local cinema or a specific selection from all the shop’s ranges: search using the dedicated bar, then select the products you want from the results. You can also combine category ranges with custom products.
Continue to access the budget settings.
Choose the type of Swile shop subsidy: euro allowance, percentage discount, discount in euros per item, or fixed price per item.
Euro allowance (set amount in €): an amount in euros that the beneficiary can spend in one or more transactions. You can vary this amount based on criteria linked to the beneficiaries (dependants and/or other criteria).
- Set an allowance (in €) per item; this amount applies to each eligible product.
- Specify whether the allocated amount is the same for everyone, or varies according to a criterion.
Percentage discount: a percentage discount applied to the displayed prices, up to a euro limit. You can vary this limit based on criteria linked to the beneficiaries (dependants and/or other criteria).
- Set the percentage discount to be applied to Swile shop prices (among the eligible products defined earlier).
- Specify if you want to limit the number of subsidised items. Example: for a 50% subsidy on event tickets, up to €100, with no maximum number of items, the 50% discount applies to all event tickets in the basket until the €100 subsidy is reached. If you set a maximum number of items (e.g. 3), the 50% discount applies up to €100, or on 3 items, even if the €100 limit is not reached.
- Set the maximum subsidy amount (in euros). You can enter the same amount for everyone, or vary it according to a criterion.
- Note: giving a 100% discount up to €150 is the same as giving a €150 allowance, which the beneficiary can use on one or more eligible items (up to €150).
Discount in euros per item: the amount of the discount per item, in euros, applied to the displayed prices, as well as the maximum number of subsidised items. You can vary the discount amount based on criteria linked to the beneficiaries (dependants and/or other criteria).
- Set the discount amount per item (in €). You can enter the same amount for everyone, or vary it according to a criterion.
- Enter the discount (reduction) amount per item.
- Enter the maximum number of subsidised items per beneficiary.
Fixed price per item: the price your beneficiaries pay per item. The Swile shop subsidy covers the difference with the price displayed in the shop. You can vary this fixed price based on a criterion linked to the beneficiaries.
- Set the fixed price paid by the beneficiary.
- Specify whether the allocated amount is the same for everyone, or varies according to a criterion.
- Set the eligible items: fill in the field The subsidy applies to items with a shop price not exceeding by entering the maximum initial price of the item.
- Enter the maximum number of eligible items.
💡 Good to know
You can see the maximum estimated budget live in the box on the right. This is a maximum, calculated as if 100% of beneficiaries use 100% of their Swile shop subsidy. For a fixed price subsidy, this maximum is calculated as if 100% of beneficiaries buy the most expensive eligible item. The number of beneficiaries includes all active beneficiaries on your platform and any dependants. This budget may change if you add or remove beneficiaries or dependants.
- Set a start date (inclusive) and an end date (inclusive) for your Swile shop subsidy.
- Then choose whether the rule renews on the 1st of each month, or if it is only valid once during the defined period. Any unused amount by the beneficiary does not carry over to the next month.
- Click Confirm subsidy to finalise the creation of your Swile shop subsidy.
