You can place an order for meal vouchers by manually adding your recipients and the number of days to be credited, or by importing a CSV file. This FAQ explains how to import a CSV file.
How do I place my meal voucher order using a CSV file?
-
Step 1: Start a new meal voucher order from your admin area.
From your meal voucher admin area, click on New order.
-
Step 2: Choose to import your meal voucher order by file.
Click on Import via file in the top right corner.
-
Step 3: Choose the source of your meal voucher CSV file.
You have two options.
If you use the provided template:
- Select the required data.
- Click on Generate import file. The file will download to your computer.
- Fill in the file, then save it on your computer.
If you use a file provided by a compatible HRIS:
- Click on Import an existing file.
- Import the file provided by your HRIS, such as PayFit or Lucca.
💡 What information do I need to provide to import the file?
You must specify the HRIS and/or payroll software when uploading the CSV or Excel file. This information is mandatory and self-declared. It allows you to proceed with the order. Your choice will be saved for future orders and you will only be asked once.
-
Step 4: Finalise your meal voucher order after importing the file.
Select the date your recipients should be credited with meal vouchers, choose your payment method, then click on Finalise my order.
How do I fill in and import my meal voucher CSV file?
The table below shows the information you need to enter in the file.
| File column | Value to enter |
|---|---|
| GENDER | Write out MR or MRS in full. |
| FIRST NAME/SURNAME | Do not use accents or special characters. |
| Enter only one email address per recipient. | |
| DATE OF BIRTH | Use the day/month/year format. |
| FACE VALUE | Enter the amount in euros. Do not add the word euros or the € symbol. |
| DELIVERY POINT ID | Only fill in this column if you are responsible for ordering cards for your recipients. If delivery should be to their home, enter D. Otherwise, delivery will be made to the delivery point by default. If you delegate card ordering to the recipient, see the article Create a recipient and delegate card ordering to them. |
| ADDRESS | Labelling limits the address to 38 characters. Use the address line 2 if needed. |
| EMPLOYEE NUMBER | Enter a unique identifier to distinguish recipients. This information is optional. |
| SUNDAY MEAL VOUCHER | Write YES only for people who work on Sundays. |
| ORDER PHYSICAL CARDS |
Write YES if you want to order the cards as an administrator. Write NO if your recipients should order their own card. You can use YES and NO in the same file, depending on the recipient. For recipients already created, the column will show NO by default for your next CSV file order, even if you previously entered YES. This display has no impact on recipients already created. You can leave NO, delete the text, or remove the column if you are not adding any new recipients. |
What should I do if my meal voucher CSV import shows an error?
After importing, error messages will show which line needs correcting. Edit the relevant line directly in your file, save the file again, then re-import it.
