How do I credit meal vouchers to my beneficiaries?

Once you’ve added your beneficiaries in the meal voucher section (see our help page if needed: How do I add beneficiaries to the meal voucher programme?), you can top up their accounts. Here’s how to place an order and credit meal vouchers to their accounts 🚀

📆 When should you top up?

We recommend topping up meal voucher balances at the end of the month, based on the previous month. This way, there’s no confusion regarding holidays, sick leave, absences, or RTT days.

1. Enter the amount to be credited 💸

  • Click on Continue

💡 You can also top up using a CSV file. We recommend reading this detailed article on the subject: Placing a meal voucher order with a CSV (Excel) file

2. Choose the loading date 📆

  • Select the date you want your beneficiaries’ meal vouchers to be available in their accounts.

📌 Payment by bank transfer

If you pay by bank transfer, please allow 2 working days between placing your order and the cards being credited, to give us time to process your payment. If you pay by direct debit, the process will be completed in a single day.

3. Complete your order 💰

  • Check the summary, then click on Proceed to payment
  • Choose your payment method. 💡 Your very first meal voucher order must be paid by bank transfer. For your second order, you’ll be able to pay by direct debit (the debit will be made within 48 hours after your order is confirmed). For more information, see: Add a direct debit mandate to pay for meal voucher orders. It’s not possible to pay for a meal voucher order by credit card.
  • Finish by clicking Confirm and pay for my order 🎉

💡 Top tips

  • Payment by bank transfer: Don’t forget to make the transfer after confirming your order! We can only issue the meal vouchers once we’ve received your payment.
  • Check your billing address (and delivery address if you’re ordering cards yourself) before confirming your order.
