This article is for Swile meal voucher administrators. From the Orders & Invoices section of your Swile account, you can track the status of an order, check how many meal vouchers have been loaded for each recipient, and find the delivery address for a card.
How can I check the status of my Swile meal voucher order?
Your Swile history lets you view the status of each order. Once the order is confirmed, new recipients are created, accounts are credited, and cards are dispatched. Here’s what each status means:
| Status | Meaning |
|---|---|
| Pending | Swile is waiting for your payment, or proof of payment, to confirm the order. |
| Being prepared | The order is automatically confirmed within 24 hours if you use direct debit. With direct debit, accounts are credited on the chosen loading date. With bank transfer, Swile waits to receive the transfer before crediting the accounts. |
| Awaiting administrator approval | The order will be processed once it’s approved by the administrator. Managers can place an order but can’t approve it. Only the administrator can approve and move on to the payment stage; the administrator will then receive an email inviting them to approve the order. |
| Cancelled | The order can’t be processed because it’s been cancelled. Check the payment status and contact Swile if payment has already been made. |
| Order processed | The cards have been dispatched, new recipients created, and the top-ups appear in your employees’ accounts. If you only see Top-up, the order didn’t include any new cards. |
How can I check how many Swile meal vouchers have been loaded for my recipients?
The number of vouchers loaded and their face value are shown directly in the order history, on each recipient’s line. Just search for the recipient by name.

How can I find the delivery address for a Swile meal voucher card?
When you open an order, you’ll see a summary: order date, approval date, number of cards ordered, and so on.
You can then filter the order to show only recipients who received a card: tick the With card box in the Recipients section. Hover your mouse over the card icon 💳 next to a recipient to display the delivery address.
